Work flow

SQL-Ledger contains a large number of accounting/ERP functionality but does not dictates any particular work flow for your business. You can implement it in a variety of ways. Here are some some possible work flows which can be adopted for your business.

A. Send invoices to your customers and track receipts.

  1. Create items you sell to your customers. Goods & Services–Add Part, Goods & Services–Add Service
  2. Add your customers. Customers–Add Customer
  3. Create invoices. AR–Sale Invoice
  4. Invoices can be emailed in PDF or html format. You can also print invoices and send by post.
  5. Enter cash receipts from your customers. Cash–Receipt
  6. View reports. AR–Reports–Outstanding, AR–Reports–AR Aging

B. Manage your accounts with General Ledger module

This work flow requires that you have through knowledge of double entry accounting system so that you can create double-entry GL transactions for all types of business transactions.

  1. Use a default chart of accounts or define your own. System–Chart of Accounts
  2. Add your transactions. General Ledger–Add Transaction
  3. View transactions. General Ledger–Reports
  4. View other reports. Reports–Trail Balance, Reports–Income Statement, Reports–Balance Sheet

C. Small business guidelines

Sql-ledger's target audience is small to medium sized business. With the passage of time more and more features are being added to this already powerful software.

Although features are good but more features also make it difficult to understand or use the sql-ledger for very small business or personal use.

Here we provide some quick guidelines to provide help for very small business owner or for personal use.

1. Use default chart of accounts

If you are not familiar with the concepts of chart of accounts, just use the default one.

2. Using AR / AP transactions

AR / AP transactions make it easy to record your business activity without the knowledge of double entry accounting system.

Follow these steps to record your business activities:

  1. Add your vendors/suppliers to sql-ledger through AP–Vendors–Add Vendors. For cash purchases, add a vendor with name Cash Purchases
  2. Add your customers to sql-ledger through AR–Customers–Add Customer. For cash sales, add a customer with name Cash Sale.
  3. Record your purchases through AP–Add Transactions.
  4. Record your sales through AR–Add Transaction.
  5. Record payments to your vendors through Cash–Payment.
  6. Record receipts from your customers through Cash–Receipt.

There are a large number of reports each with a number of options. For getting started, I would recommend to use the following reports and learn it in details by trying different options.

  1. AP–Reports–Transactions
  2. AR–Reports–Transactions
  3. Cash–Reports–Payments
  4. Cash–Reports–Receipts
  5. General Ledger–Reports
